Journal ManagerTM
is a web-based journal management software
designed using PHP technology. This implies that
the program will only run in a server with
apache installed, whether in Windows or Linux.
Journal ManagerTM
has been designed in three different integrated
panels namely, manuscript submission
and tracking, manuscript review and
articles publication.
The
manuscript submission and
tracking panel
allows the
electronic handling of various aspects of
manuscript including submission, tracking, and
editing. It also allows the editorial office to
assign manuscript to reviewers and add
reviewers' comments to the author's page where
the author can read the comments and also
download the edited manuscript with tracked
changes.
Manuscript review panel
allows a
reviewer assigned a manuscript online access to
the specific manuscript information submitted by
an author. It allows the reviewer to submit the
track-changed edited manuscript file and his or
her comments. It also allows the editorial
office access to the reviewer's comments and the
accompanying file which are not accessible
directly to authors unless redirected to the
authors' window by the editorial office.
Articles
publication panel
allows
the editorial office to publish
accepted articles and control of access to the
articles. It can easily be integrated into
e-commerce system to allow online payment or
download of individual articles and payment for
reprints.
Journal ManagerTM
has automatic e-mail alert
feature and allows each user access to only the
information he or she has entered into the
database. All users with administrator
privileges have access to all information
entered into the database but will not know the
password for other users.
Although users can
register through any of the three panels
described in the features,
user registration records are stored in only two
different tables, namely user_author and
user_subscriber. Therefore, the access codes
(username and password) assigned from the
manuscript submission
panel is the
same that should be used in the
manuscript review panels.
Register as
Administrator
You can only
register an Administrator when you
already have administrator
privileges. To register an
administrator
-
Sign
in with administrator
username and password
in the Author's area (login.php)
-
Click
on "My Information" link on
the menu on the left pane
-
Locate
the Add link and
click on it. Then complete
the form and ensure you
select "Administrator" in
the UserLevel field
-
Repeat
above step in the articles publication panel
if you want the user to be
able to publish accepted
articles.

The Administrator
may register all Reviewers
and assign Reviewer level to them.
Administrator is a super user and can do everything. It is advisable to
assign Administrative
Registering as Author

-
Go to
index.php
or locate the author's area
link from the index page or
left pane
-
Click
on "Create an Account"
-
Complete the form and click
on submit button. Please
note that the registration
form requires confirmation
of information before it is
submitted to the database.
Check your e-mail box for
the message sent to confirm
that you have an active
e-mail address
Registering as Reviewer

Reviewers should normally be
assigned temporary username
and password (which
reviewers must change to
their preferred user codes
at first login) by the
editorial office. They should
also complete their
registration form using "My
Information" link on the
menu on the left pane .on
login. If a
reviewer prefers to register
on his or her own, he or she
can follow the instructions
below but he or she will not
be able to review any
manuscript until the
editorial office changes the
access level from the
default "Author" to
"Reviewer":

Go to
reviewer/login.php
or locate the reviewer's
area link from the index
page or left pane.
-
Click
on "Create an Account".
-
Complete the form and click
on submit button. Please
note that the registration
form requires confirmation
of information before it is
submitted to the database.
Check your e-mail box for
the message sent to confirm
that you have an active
e-mail address.
-
Reviewers
who register on their own
will request the editorial
office to change their user level to
"Reviewer" before
they can
review any manuscript.
Authorizing registered reviewers to
review manuscript

Login as Administrator (use
admin username and password)
.
Go to "My Information" on
the menu on the left pane
and and the click on edit
(modify) link against the
reviewer's name and change
the user level from "Author"
to "Reviewer".
Click the "Submit" or "Edit"
button. If prompted to
confirm record, respond
appropriately to submit.
Registering as Subscriber

Subscribers
are normally assigned temporary user level by the
Journal ManagerTM
at the time of registration. Until editorial office
changes the user level from "Default to
"Subscriber" the
subscriber will only have access to free
articles.
Make
his or her subscription
payment as appropriate.
The editorial
office will
-
Confirm that payment
has been recieved.
-
Change the subscriber's user level from
"Default" to "Subscriber".
-
Send a
confirmation e-mail
to the subscriber and the
subscriber can then have
access to the published
articles.
-
Return the
"Subscriber's user level to
"Default" at the expiration
of the subscription.
Author's
manuscript is prepared according to
journal instructions to authors.
Preferred
format of manuscript is MS Word to allow
editing and comments on submitted
manuscript using "Tack Changes" command
in MS Word Tools menu.
The author
should save his or her manuscript
and all the accompanying figures and
tables into a single file. The file should be re-saved
into a second file without the names
and affiliations of authors.
Author should login at
login.php
or locate the author's area
link from the index page or
left pane
menu.
Author should then click on the "add
manuscript" flashing image and complete
the relevant fields and submit.
Information to be
submitted require confirmation. So
authors must be patient to confirm their
record.
For authors not able or willing to
submit manuscript online using
Journal ManagerTM,
manuscript may be sent to the editorial
office by e-mail. The editorial office
then creates author's account and make
the submission on behalf of the author
and send the author's database access
codes to the author, along with the
manuscript reference number, by e-mail
to the author.

Login
as Administrator to manuscript area.
-
Locate the
author's record from the list. Records
are arranged in descending order based
on the time of submission. You may use
the search tool to easily locate the
required record.
Authors can only modify their manuscript
record when the status is pending (i.e.,
the manuscript has not been assigned for
review). If the status has changed from
"Pending" do not attempt to modify and
information. Send a message to the
editorial office for any corrections. If
the status is still pending you can
follow the following instructions:

Login
as Administrator to manuscript area.
-
Locate the
author's record from the list. Records
are arranged in descending order based
on the time of submission. You may use
the search tool to easily locate the
required record.
-
Click on "Modify"
link (this link will not be visible if
the current status is "Pending") on the right end of the record line
and modify as appropriate. Ensure the
files attached have not been removed.
-
Submit the edited
record.
-
Login
as Administrator in the
Author's area.
-
Locate the
author's record from the list. Records
are arranged in descending order based
on the time of submission. You may use
the search tool to easily locate the
required record.
-
Click on "Remove"
or "Delete" link on the right end of the
record line and confirm delete. Please
note that deleted records cannot be
recovered.
-
Login as Administrator
in the Author's area.
If not, you will not see the link to the Editor's Area.
-
Click on the "Editor's
Area on the right side of each manuscript title.
-
Preview the manuscripts
and download the one without authors' information. Note the location of the file
in your computer.
-
Decide whether it is worth sending out for other review.
-
If it needs to be sent
out for review, click on "Make Copy" in the manuscript control panel.
Insert the manuscript file under Manuscript File without names of
authors, enter the Reviewer's ID, change "Pending" to "Being
Processed" and submit to
database.
-
Repeat above for other reviewers of the
article. (Note that the new
copies will not be visible to the "Author" because the User ID
has been set to be "0").
Sign in with the reviewer's username and
password.
Click on "details" against the
manuscript assigned to you to preview
the details. You may need to download
the manuscript to be reviewed.
Type out your
comments and edit the manuscript using
"Track Changes" command under the Tools
menu in Word and save the file. Note the
location of the file you have saved.
Copy the comments
(not the text in the saved file) and
continue to "Add Comments" image to add
your comments.
You may need to
use the "Back to List" link and then
click on "review" against the manuscript
and then on "Add Comments" image to
submit your comments.

Login as Administrator in the
Reviewer's
area.
-
Locate the manuscript record from the list
and on the right of the screen, click on
"Review".
-
In
the next window that appears, click on
"Details" under Reviewer's Comment.
-
Copy the reviewer's comments and if file is
attached, download it and note the location
in your computer and then,
-
Login as Administrator
in the Author's area (login.php).
If not, you will not see the link to the Editor's Area.
-
Click on the "Editor's
Area on the right side of each manuscript title.
-
Against the manuscript record, click on "Add
Reviewers' Comment". Paste the reviewer's
comment in the appropriate space and repeat
the same for other reviewers. Repeat above
for other reviewers' comments
-
Change the Status to the appropriate one.
-
If
the manuscript file has been edited, combine
the files into a single file and use it to
replace the one submitted by the author Or
you can send them to the Author by e-mail.

Submit record to database.
-
Send an e-mail message to Author to inform
him or her about the outcome of the review
and refer him or her to the information
against his or her manuscript record in the
database.
Publishing
articles for subscribers
Access to articles for subscribers are
controlled with usernames and password.
Only registered users that have met
certain conditions have access to them.

Convert each of the articles into
pdf format.
-
Login as Administrator in the
subscriber's area using the
administrator's username and
password.
-
Click on "Add
Record" image, enter the required
information and submit to database.
-
Click on the
row of the appropriate volume and
issue to publish the other relevant
information for each article. Also
publish the information for other
articles in that volume and issue.
-
Use the "Edit"
link to modify and "Delete" link to
remove from the list as appropriate.
Publishing articles
for online payment

-
Write down the
"AN" numbers of all the articles you
intend to publish for download via
online payment and note their
corresponding article titles.
-
Click on the
button below to generate a set of
random numbers which should be used
to create your file name. Ignore the
first 2 characters (0 and .)
in each set of numbers. Generate as
many numbers as the number of
articles
for each issue of the journal and
write them down. The random numbers
will make it difficult for any body
to guess file names other than the
one the person is using to download a
file.

Download the file named
"AN00001.php" in http://YourDomainName/jmanager/download
and the file "RAN00001.php in
../download/file_info/.
-
For each article do the following:
-
Open AN00001.php with Microsoft
FrontPage or another editor and in
line 12 of the file, replace "00001"
with the random number generated and
save the file as AN<<<<<<.php where
the "<<<<<<" represents the random
number.
-
Open
RAN00001.php with Microsoft
FrontPage or another editor
and in line 151, replace the 2 in "published_articles.AN
= 2" with the AN number and save the
file as RAN<<<<<<.php
where the "<<<<<<" represents the
random number used above.
-
Integrate the
AN<<<<<.php file with the
corresponding fulltext link in the abstract web page
and also in the journal issue
content page (as appropriate)
accessible
-
Integrate
a checkout account in-between the
AN<<<<<.php file and each abstract
and content pages such that when
ever view (download) fulltext of
article is clicked, the online
payment page opens and when the
payment is completed it redirects to
the
AN<<<<<.php
file.
-
Repeat above for other articles and upload
the AN<<<<<.php files into
../download/ folder while the
RAN<<<<<.php files should be
uploaded to ../download/file_info/
folder.
